We are looking for an experienced Office Manager and/or Treatment Coordinator to join our Mississauga team. The right candidate is a strong communicator, natural leader, and problem-solver—someone who genuinely enjoys helping patients and supporting the team. This posting is to hire one or two positions, depending on fit.

⭐ About the Role

We are hiring for Office Manager, Treatment Coordinator, or a combination of both roles depending on candidate experience.

Office Manager Responsibilities

  • Lead and support a high-performing team of administrators, assistants, and hygienists
  • Run daily operations smoothly with professionalism and positivity
  • Hold regular staff check-ins to ensure clarity, confidence, and support
  • Collaborate with owners, regional managers, and dentists on goals and KPIs
  • Maintain a culture of respect, teamwork, and open communication
  • Oversee onboarding, training, coaching, and staff development
  • Organize meetings, inspections, and office-wide initiatives
  • Manage office ordering, supply inventory, and vendor communication
  • Maintain accountability while modeling empathy and fairness
  • Support implementation of our Smile Centre systems and charter values

Treatment Coordinator Responsibilities

  • Guide patients through treatment plans with clarity, compassion, and transparency
  • Explain benefits, costs, timing, and insurance limitations in a supportive manner
  • Present surgical and sedation cases confidently
  • Coordinate appointments for multi-step and specialty treatments
  • Follow up with patients to encourage understanding, trust, and case acceptance
  • Collaborate with dentists to ensure accurate and complete treatment presentation
  • Maintain detailed charts, estimates, and follow-up trackers

⭐ What We’re Looking For

Required experience

  • Minimum 2 years in dental administration, management, or treatment coordination
  • Strong knowledge of Dentrix
  • Experience with RecallMax or similar patient communication software
  • Comfort working in a surgical and sedation-based practice
  • Ability to build strong relationships with patients and staff
  • High level of organization, initiative, and reliability
  • Leadership style centred on support, growth, teamwork, and clear communication

Bonus

  • Experience in multi-location dental environments
  • Familiarity with KPIs, practice metrics, and spreadsheets
